Office and Inventory Manager

Purpose       
The Office and Inventory Manager upholds relationships within PJT’s core infrastructure while overseeing the management of the office, inventory and warehouse.

Accountability
The Office and Inventory Manager reports to and works closely with the Executive Director.

Relationships
The Office and Inventory Manager serves with PJT to develop and maintain relationships characterized by vision, trust, transparency, dignity, cooperation, and education.

Evaluation and Term
The Office and Inventory Manager’s service will be evaluated every six months. The term of this position is indefinite.

Time Commitment
This position is part-time and seasonal.  It requires 15 hours/week in our office each day from Monday to Friday.  During peak holiday periods, hours increase to 20 hours/week. 

Responsibilities

Inventory
1.    Oversees fulfillment of all orders and fulfills orders in a timely way 
2.    Coordinates process and procedure for all inventory and fulfillment transactions with Bookkeeper and Executive Director and maintains updated inventory management handbook
3.    Creates stockroom volunteer program through active recruitment and ongoing support
4.    Responsible for stockroom maintenance (inventory counts, repricing, reorganization, cleaning, etc)
5.    Along with the Executive Director, coordinates receipt of products from Trade Partners and provides feedback on any problems with orders to the Executive Director
6.    Analyzes shipping and packing options that maximize speed and cost factors while taking into account environmental impact
7.    Transports goods when necessary

Sales
1.    Maintains customer relations with wholesale and retail customers, Partnership Box Coordinators, and consignment sellers and enters sales orders, invoices, and receipts into QuickBooks as needed
2.    Maintains Partnership Box spreadsheet
3.    Works with Bookkeeper to manage accounts receivable. Processes incoming payments in cash, checks and credit cards

Office Management
1.    Opens all mail and maintains daily cash flow report
2.    Makes deposits on a regular basis and wire transfers when needed
3.    Orders office and inventory supplies as necessary
4.    Assists in fulfillment of mailings
5.    Supervisor to any onsite volunteers or temporary help
6.    Records volunteer hours and submits them monthly to Executive Director

Other
1.    Communicates daily with Executive Director to provide updates about office, inventory, financial, and any other relevant matters
2.    Provides assistance and information as needed to the Executive Director
3.    Maintains flow of bank deposits and outgoing shipments
4.    Learns about and promotes PJT’s core values, Fair Trade principles, and Trade Partners

Position Qualifications
•    Highly proficient in Microsoft Excel
•    Experience working with QuickBooks strongly preferred
•    Strong attention to detail, excellent organizational skills, and ability to work independently
•    Previous warehouse or inventory management experience preferred
•    Experience in recruiting and working with volunteers
•    Ability to relate in a positive, friendly, and productive manner with customers
•    Valid Driver’s License for the transportation of goods

Summer 2012 Internships

Graphic and Web Designer Intern

The Graphic and Web Designer Intern reports to the Executive Director and works closely with the Sales Coordinator.

Responsibilities

  • Work with the sales team to design compelling, customized graphics that will exceed everyone's expectations
  • Adhere to PJT's identity standards while continuing to enhance our design aesthetic by turning out fresh, cutting-edge graphics
  • Create various marketing communication materials (one-pagers, product info sheets, posters, etc), media advertising, promotions, and more
  • Design attractive graphics, images, and other visual elements, and adapt them for the PJT's website and social media channels
  • Conceptualize and create high-quality online designs, such as banners, e-mails and landing pages
  • Test to ensure that minimal errors are found in production and optimize the layout of materials, site performance and compatibility with various browsers.
Position Qualifications
  • Knowledge of Adobe Creative Suite including but not limited to PhotoShop and InDesign
  • Superb attention to detail
  • Possess strong creative and design skills
  • Knowledge of Flash is a plus
  • Organized and able to act independently

Marketing and Publicity Intern

The Marketing and Publicity Intern reports to the Executive Director.

Responsibilities
  • Increase awareness of PJT’s educational resources through regional events, social media and other relevant channels
  • Research opportunities to promote PJT in news and other media outlets
  • Writing and editing media and related materials (news releases, Web and newsletter copy, pitch letters, articles, talking points)
  • Write content for various marketing communication materials
